Computers – Acquiring, Tracking, & Returning revised 10/24/07
IMPORTANT NOTES REGARDING ALL COMPUTERS: · Computers and all component parts are property of GVCS. Students will take extreme care with the equipment and parents will oversee to ensure that computers are protected from harm.

or lost components will be paid for by the family in accordance with GVCS’s

· All computers are for GVCS student use only, for educational purposes only. · Operating systems may not be modified or altered in any way; pre-installed software and programs may not be deleted or modified. No access-limiting passwords may be installed or registered on the computer. · GVCS allows one computer per student. · GVCS allows a maximum of one high school laptop program laptop per household.
Process for acquiring a NEW computer: 1. Student requests a new computer. 2. ES submits Computer Requisition form Word doc to GVCS office. 3. ES deducts the cost of the computer ($988) from student’s budget register – deduct $494.00 from both 1st and 2nd semester funding at time computer is requested. 4. Computer and component parts are shipped to ES. 5. ES completes NEW Computer Tracking form Word doc. 6. ES delivers computer and component parts to student; parent and ES sign New Computer Tracking Form. 7. ES sends original New Computer Tracking Form to GVCS office; ES keeps a copy of the New Computer Tracking Form in the student’s file. 8. When the computer is returned, ES inspects computer and component parts and ensures all parts are accounted for and functioning. 9. ES completes the section titled “For ES Use Upon Return of Computer” at the bottom of his/her file copy of the New Computer Tracking Form. 10.ES returns the computer, with his/her file copy of the New Computer Tracking Form attached, to the GVCS office. NOTES: · New computers are distributed in a bundle, which includes a mini PC hard drive, a 17” LCD flat panel monitor, a keyboard, and a mouse. · The cost for a new computer is $988.00 ($494.00 per semester) regardless of whether or not the whole bundle is desired. · Windows XP, Microsoft Office, and antivirus software are pre-installed on the computer. · If service or repairs are required, the student will contact the ES. The ES will contact the school office for further assistance with service needs. If the repair/service is not covered by the warranty, depending on the situation, the student’s IF may be charged, or the parent/guardian may be responsible for these fees.
Process for acquiring a USED computer: 1. Student requests a used computer. 2. ES emails Lori Llorence requesting a used computer. 3. When a used computer becomes available, Lori informs the ES. 4. ES makes arrangements to get the computer from the GVCS office. 5. ES deducts the cost of the computer from student’s budget register – deduct $90.00. 6. ES completes USED Computer Tracking form Word doc. 7. ES delivers computer and component parts to student; parent and ES sign Used Computer Tracking Form. 8. ES sends original Used Computer Tracking Form to GVCS office; ES keeps a copy of the Used Computer Tracking Form in the student’s file. 9. When the computer is returned, ES inspects computer and component parts and ensures all parts are accounted for and functioning. 10.ES completes the section titled “For ES Use Upon Return of Computer” at the bottom of his/her file copy of the Used Computer Tracking Form. 11.ES returns the computer, with his/her file copy of the Used Computer Tracking Form attached, to the GVCS office. NOTES: · Used computers are distributed on a first come, first served basis. · Used computers are pre-installed with antivirus software, at no charge to the student’s IF. · Many of the used computers are no longer covered by a warranty. If a problem arises with the computer, the student contacts the ES. The ES will contact the school office for further assistance with service needs. Depending on the circumstances, if repairs or service due to normal wear and tear are necessary, these costs may be covered by IF, or, if the costs are prohibitive, the family may wish to put their name on the list for another used computer. Damage beyond normal wear and tear will be paid for by the parent/guardian.
High School Laptop Program GVCS high school students are invited to participate in a program designed to integrate technology into the high school curriculum, while enhancing the post-high school planning process for all GVCS high school students. The program will be offered initially to 12th grade students, then dependent upon interest and availability of computers, it will be offered to 11th grade students, then 10th, and then to 9th grade students. Program specifics – High school students will receive a laptop computer for their educational use while enrolled in the school. In exchange for continued use of the computer, the student will complete various requirements set forth by the school. These requirements currently include the completion of 5 specific GVCS Life Skills elective modules. At least one module must be completed per semester, until all 5 modules are completed. Career Exploration – Module A must be completed first, followed by Career Exploration – Module B. After the completion of Modules A and B, Module C (Financial Basics for Teens), Module D (Developing the 7 Habits of Highly Effective Teens), and Module E (Civic Responsibilities of New Voters) may be completed in any order.
Process for acquiring a laptop as a participant in the High School Laptop Program: 1. The GVCS office will send a letter explaining the program and inviting the student to participate. The letter will include instructions on how to participate and deadlines for participation. The letter will be sent first to 12th grade students, then to 11th grade students, and so on, as long as laptops are available. 2. After receiving the letter, the student will inform his/her ES of his/her interest in participating. 3. ES determines if student is capable of adequately maintaining a laptop and of completing each Life Skills elective module in the required time period, in addition to his/her other course work. 4. If ES approves student’s participation in the laptop program, ES submits Laptop Requisition form Word doc to GVCS office. 5. Office informs ES when a laptop is available for that student. 6. ES makes arrangements to get the laptop from the GVCS office. 7. ES completes LAPTOP Tracking form Word doc. 8. ES delivers laptop and component parts to student; parent, student, and ES sign Laptop Tracking Form. 9. ES sends original Laptop Tracking Form to GVCS office; ES keeps a copy of the Laptop Tracking Form in the student’s file. 10.ES monitors the timely completion of each Life Skills elective module, ensuring the appropriate course title is included on each semester’s Course Selections Form Word doc for that student. 11.ES emails the Curriculum & Assessment Coordinator to inform her when the student completes each module. 12.When the laptop is returned, ES inspects laptop and component parts and ensures all parts are accounted for and functioning. 13.ES completes the section titled “For ES Use Upon Return of Laptop” at the bottom of his/her file copy of the Laptop Tracking Form. 14.ES returns the laptop, with his/her file copy of the Laptop Tracking Form attached, to the GVCS office. NOTE: · When a student is finished using a HS laptop program laptop or when the student leaves the school, the laptop must be returned to the school. The laptop may not be retained for use by a sibling. If the laptop program is available to students in the sibling's grade level, the sibling may request a laptop for his/her own use, after the first laptop is returned. · Laptops are pre-installed with antivirus software. · Only one laptop acquired through this program is allowed per household. If there is more than one high school student in the family/household, they may share a laptop. · If repairs or service are required, the student will contact the ES. The ES will contact the school office for further assistance with service needs. If the repair/service is not covered by the warranty, depending on the situation, the student’s IF may be charged, or the parent/guardian may be responsible for these fees.
